# Archive, delete and merge clients and contacts

> Tidy up your customer records: archive clients and contacts you no longer quote, delete unused records, and merge duplicate clients into one.

Over time you will collect clients you no longer work with and the odd duplicate. Quoterium gives you three tools, each with a different effect.

## Archive

Archiving hides a client or contact from lists and pickers but keeps everything, including their quotes. It is the safe choice for anyone you have quoted before.

- **Client**: open the client and choose **Archive** at the top of the page. Its quotes and contacts are kept.
- **Contact**: choose **Archive** next to the person on the client page or in the **Contacts** list. Existing quotes keep their details.

To find archived records, tick **Show archived** on the **Clients** or **Contacts** list. Use **Restore** to bring one back.

## Delete

Deleting removes the record. It is only possible while no quote or template uses it; otherwise Quoterium tells you how many quotes are involved and asks you to archive instead.

- **Delete client** is in the **Danger zone** at the bottom of the client page. It deletes the client **and all of its contacts**.
- To delete a single contact, choose **Delete** next to them.

## Merge duplicate clients

If the same company has been entered twice, merge the duplicate into the record you want to keep.

1. Open the duplicate client (the one that will disappear).
2. Choose **Merge into…**.
3. Under **Client to keep**, find the other record.
4. Choose **Merge** and confirm.

All contacts and quotes move to the client you keep, and the duplicate is removed. If the client you keep already has a primary contact, it stays primary. If it has no private notes, the duplicate's notes are carried over. A merge can't be undone.

There is no merge for contacts: archive or delete the duplicate person instead.
