# Write descriptions with AI

> Let AI write an item's description from its heading, or improve, shorten, lengthen or reword what you've written, and check the suggestion before it goes in.

Price items and text items have an **AI** button in their text toolbar, in quotes, templates and the library. It writes a description from the item's heading or reworks what you've written. Nothing changes until you choose to use the suggestion.

## Write a description

1. Give the item a heading, for example "Content migration".
2. Click **AI** in the description's toolbar, or press Ctrl+J in the text (Cmd+J on a Mac).
3. Choose **Write a description** (**Write this section** for a text item), or describe what you want in the box below it and choose **Write**.

In a quote, AI also sees the quote's title, the client and the headings of the other items, so the text fits the rest of the quote. Anything already in the description is used as notes.

## Improve what you've written

When the description has text, the panel offers **Improve**, **Fix spelling & grammar**, **Shorter**, **Longer**, **Bullet points**, **More formal**, **Friendlier** and **Rewrite from heading**. Or say what to change in your own words, such as "make it about the client's goals", and choose **Write**.

These work on the whole description. To work on part of it, select that text first, then click **AI** in the toolbar or in the small bar that appears over the selection.

## Use the suggestion

- **Replace text** puts it in place of your text (**Replace selection** for a selection, **Insert** when the description was empty). Pictures, files and tables in the description stay where they are.
- **Insert below** adds it after your text, keeping both.
- **Try again** writes another version; the arrows take you back to earlier ones.
- **Ask for changes** revises the suggestion, for example "mention the two rounds of revisions".
- **Discard** throws it away.

Changed your mind after using it? Undo (Ctrl+Z) puts your text back. Escape or ✕ closes the panel.

## What AI is asked to do

AI is asked to write plainly for your client, never to mention prices or tax (the quote shows them), and not to invent specifics such as dates, quantities or numbers of revisions. For library items and templates it may leave a [smart tag](https://quoterium.com/help/writing-quotes/smart-tags-and-placeholders) such as <number of pages> for you to fill in on each quote. Smart tags and placeholders already in the text are kept as they are. Read every suggestion before using it: AI can still state things you didn't say.

## Availability and privacy

The button appears when AI is set up for your account. Writing help doesn't count towards the monthly allowance for drafts and imports. The text you're working on, the heading and, in a quote, its title, client name and item headings are sent to the AI provider (OpenRouter) to write the suggestion; Quoterium records that a request was made, not its text. Admins can use the organisation's own OpenRouter key under **Settings → Integrations**.
