# Quoterium > Quoterium is web-based quoting software for studios, agencies and consultants. Teams build quotes from templates and a price list, email them to clients in their own name, let clients choose options and sign online with a built-in e-signature, and raise the invoices in Xero — in any currency, at the day's ECB exchange rate. [Your first quote, step by step](https://quoterium.com/help/getting-started/your-first-quote.md): A quick walk-through: start a quote, choose the customer, add items, check the totals and preview, then send it. - [Finding your way around](https://quoterium.com/help/getting-started/finding-your-way-around.md): The main navigation, the New quote button, quick search and the account menu, and where to find settings. - [Using the dashboard](https://quoterium.com/help/getting-started/the-dashboard.md): What the dashboard shows first — questions to answer, drafts to finish, follow-ups and accepted quotes to countersign and invoice — and what its figures mean. - [The quotes list: search, filters and bulk actions](https://quoterium.com/help/getting-started/quotes-list-and-filters.md): Find any quote with search, status tabs and filters, see which quotes have been opened or need a follow-up, and act on several quotes at once. - [Working with more than one organisation](https://quoterium.com/help/getting-started/multiple-organisations.md): Run several companies from one login: create another organisation, switch between them, and understand what is kept separate. - [Set-up checklist for admins](https://quoterium.com/help/getting-started/set-up-checklist.md): The settings worth reviewing before your team sends its first quotes, in a sensible order, with links to the detailed guides. ### Writing quotes Build quotes from price items, text and subtotals, with options, discounts, tax and rich formatting. - [Create a quote](https://quoterium.com/help/writing-quotes/create-a-quote.md): Start a quote from scratch or from a template, choose the company and the people it goes to, and add terms, notes, payment terms and private notes. - [Import a quote from Word or PDF](https://quoterium.com/help/writing-quotes/import-a-quote.md): Turn a quote made in another tool into a Quoterium draft: AI reads the Word or PDF document and fills in the client, items, prices, tax and terms for you to check. - [Draft a quote with AI](https://quoterium.com/help/writing-quotes/draft-a-quote-with-ai.md): Describe the job in a few sentences and AI writes a draft quote from your library's items and prices, with the client, an introduction, priced items, optional extras and a payment schedule, for you to check. - [Price items](https://quoterium.com/help/writing-quotes/price-items.md): Add the products and services you are quoting for: headings, descriptions, quantities, units, prices and tax, plus the options in each item's menu. - [Text items and subtotals](https://quoterium.com/help/writing-quotes/text-items-and-subtotals.md): Use text items for introductions, section headings and longer explanations, and subtotals to total each section of a quote. - [Arrange items and reuse them from the library](https://quoterium.com/help/writing-quotes/arrange-and-reuse-items.md): Reorder, duplicate and delete items, insert items from your library, save items to it, and push changes back to the library. - [Optional, multiple-choice and editable-quantity items](https://quoterium.com/help/writing-quotes/optional-and-multiple-choice-items.md): Let customers tailor the quote: optional extras they can tick, groups of alternatives to choose from, and quantities they can change. - [Percentage-priced items](https://quoterium.com/help/writing-quotes/percentage-priced-items.md): Price an item as a percentage of the items above it, for example project management at 10%, so it updates whenever those items change. - [Subscriptions and recurring items](https://quoterium.com/help/writing-quotes/subscription-items.md): Quote recurring charges such as monthly support or annual licences: set the period and term, and see how they are totalled separately. - [Discounts, cost and margin](https://quoterium.com/help/writing-quotes/discounts-cost-and-margin.md): Give a discount on a single item or on the whole quote, and record costs to see your markup, margin and profit without the customer seeing them. - [Tax and how customers see prices](https://quoterium.com/help/writing-quotes/tax-and-price-display.md): Choose whether prices include or exclude tax, set tax per item, and decide how much pricing detail the customer sees. - [Formatting, images and attachments](https://quoterium.com/help/writing-quotes/rich-text-images-and-attachments.md): Format descriptions, terms and notes with the rich text editor, add and resize images, attach files, and add pictures and documents to items. - [The file library](https://quoterium.com/help/writing-quotes/file-library.md): Upload images, PDFs and documents once, such as a brochure, and attach them to any quote. Replace a file to update every quote that uses it. - [Quote settings, dates and expiry](https://quoterium.com/help/writing-quotes/quote-settings-and-dates.md): What you can change on a quote's Settings tab: currency, tax, price display, document type, quote date, expiry date and owner, and how quote numbers work. - [Smart tags and placeholders](https://quoterium.com/help/writing-quotes/smart-tags-and-placeholders.md): Leave fill-in-the-blank smart tags in templates so nothing is sent unfinished, and use placeholders that fill in the customer's name and other details for you. ### Sending and follow-up Send quotes, schedule them, follow up, track views, answer questions and manage what happens next. - [Send a quote](https://quoterium.com/help/sending-and-follow-up/send-a-quote.md): Use Preview & send to choose the recipients, check the email and the whole quote as the customer will see it, then send it. - [Schedule a quote](https://quoterium.com/help/sending-and-follow-up/schedule-a-quote.md): Write the quote and email now, and have Quoterium send them later: this afternoon, tomorrow morning, next Monday or at a time you choose. - [Mark as sent, resend and share the link](https://quoterium.com/help/sending-and-follow-up/mark-as-sent-and-resend.md): Put a quote live without emailing it, send the email again, or copy the customer's link to share it yourself. - [Follow-ups](https://quoterium.com/help/sending-and-follow-up/follow-ups.md): How Quoterium decides which sent quotes need chasing, and how to send a follow-up email or dismiss the reminder. - [Knowing when a quote has been opened](https://quoterium.com/help/sending-and-follow-up/view-tracking.md): See whether a quote is unopened, when it was last viewed and whether the customer has it open right now; how views are counted; the emails you get when a quote is opened. - [Questions and messages](https://quoterium.com/help/sending-and-follow-up/customer-questions-and-messages.md): Answer the questions customers ask on their quote page, close questions that need no reply, and send messages to the customer. - [Quote statuses and progress](https://quoterium.com/help/sending-and-follow-up/quote-statuses-and-progress.md): What each quote status means for you and your customer, and how to use the private progress flags: Active, On hold, Complete and Dismissed. - [Edit a sent quote and work with revisions](https://quoterium.com/help/sending-and-follow-up/edit-a-sent-quote-and-revisions.md): Take a live quote offline for a quick correction, or start a new revision that keeps the previous version, then compare or restore versions. - [Accept, decline or withdraw on the customer's behalf](https://quoterium.com/help/sending-and-follow-up/accept-decline-or-withdraw-for-the-customer.md): Record an acceptance or a decline the customer gave you by phone or email, undo an acceptance, or withdraw a quote. - [Archive, delete and duplicate quotes](https://quoterium.com/help/sending-and-follow-up/archive-delete-and-duplicate.md): Copy a quote to start a new one or a template, archive quotes to tidy your lists, and delete or restore drafts. ### Customer view and e-signature What your customers see, how they choose options, accept with a signature or decline, and the records kept. - [What your customer sees](https://quoterium.com/help/customer-view-and-e-signature/customer-quote-page.md): A tour of the customer's quote page: your branding, the items and totals, terms and payment schedule, questions, and the Accept and Decline bar. - [Preview your quote as the customer sees it](https://quoterium.com/help/customer-view-and-e-signature/preview-your-quote.md): Three ways to check a quote before and after sending: the Preview tab, the preview in the send dialog, and Customer view. - [How customers choose options](https://quoterium.com/help/customer-view-and-e-signature/how-customers-choose-options.md): How customers include optional items, pick from multiple-choice groups and change quantities, and how their choices reach you. - [Accepting a quote with an e-signature](https://quoterium.com/help/customer-view-and-e-signature/accepting-a-quote-e-signature.md): What your customer does to accept: verify their email if required, agree to your statement, sign by drawing or typing, and add a reference. - [Email verification codes](https://quoterium.com/help/customer-view-and-e-signature/email-verification-codes.md): How the optional one-time code works: who receives it, how long it lasts, how many attempts are allowed, and what to tell a customer who cannot find it. - [How customers decline or ask a question](https://quoterium.com/help/customer-view-and-e-signature/how-customers-decline-or-ask-questions.md): What the customer sees when they decline a quote or ask a question, and what you receive. - [Download a PDF](https://quoterium.com/help/customer-view-and-e-signature/download-a-pdf.md): Download a PDF of any quote yourself, let customers download one from their quote page, and choose the page size. - [The signature certificate and audit trail](https://quoterium.com/help/customer-view-and-e-signature/signature-certificate-and-audit-trail.md): What the signature certificate at the end of an accepted quote's PDF records, and how the document hash and audit trail support the signature. - [Countersign an accepted quote](https://quoterium.com/help/customer-view-and-e-signature/countersign-a-quote.md): Add your organisation's signature to an accepted quote, using your saved signature or a new one, so both parties have signed. - [Acceptance and e-signature settings](https://quoterium.com/help/customer-view-and-e-signature/acceptance-and-e-signature-settings.md): For admins: write the acceptance statement and choose whether customers must tick it, sign, verify their email or give an order number, plus PDF and viewing rules. ### Currencies and rates Quote in any currency with daily exchange rates, margins, fixed rates and rounding. - [Quoting in other currencies](https://quoterium.com/help/currencies-and-rates/multi-currency-quotes.md): How your base currency and a quote's currency work together: prices kept in your base currency, converted at the day's rate, with the rate stored on each quote. - [Change a quote's currency](https://quoterium.com/help/currencies-and-rates/change-a-quotes-currency.md): Convert every price on a quote to another currency, set the rate yourself or from a round-figure price, choose rounding, and refresh the rate later. - [Exchange rates, margins and fixed rates](https://quoterium.com/help/currencies-and-rates/exchange-rates-and-margins.md): For admins: see the daily rates for every currency, add a margin to protect against currency swings, or fix the rate for a currency. - [Rounding converted prices](https://quoterium.com/help/currencies-and-rates/rounding-converted-prices.md): Make prices in other currencies look deliberate rather than calculated by rounding them to the nearest 1, 5, 10, 50 or 100. - [How the dashboard handles currencies](https://quoterium.com/help/currencies-and-rates/currencies-on-the-dashboard.md): How quotes in different currencies are added up on the dashboard and the quotes list, and how to view your figures in another currency. ### Payments and Xero Payment terms and milestones, connecting Xero, and raising invoices from accepted quotes. - [Payment terms and milestones](https://quoterium.com/help/payments-and-xero/payment-milestones.md): Add payment terms and a schedule of milestones to a quote, each a percentage of the one-off total with its own due rule, shown to the customer. - [Default payment terms and milestones](https://quoterium.com/help/payments-and-xero/default-payment-terms-and-milestones.md): For admins: set the payment terms and milestone schedule that quotes started from scratch begin with. - [Connect Xero](https://quoterium.com/help/payments-and-xero/connect-xero.md): For admins: connect your organisation's own Xero account so you can link clients to Xero contacts and raise invoices from accepted quotes. - [Invoice subscriptions in Xero](https://quoterium.com/help/payments-and-xero/invoice-subscriptions-in-xero.md): For admins: invoice the first period of a quote's subscription items in Xero, together or one invoice per item, and set up renewals in Xero. -
