Create and edit library items

Add price items and text items to the library: codes, headings, descriptions, prices, tax, categories, customer options and recurring prices.

Create an item

  1. Go to Library and pick Price items or Text items.
  2. Choose New price item or New text item.
  3. Fill in the fields (below) and choose Create item.

You can also save an item you have written in a quote: open its ⋯ menu and choose Save to library.

Fields for every item

  • Code: optional, for example a SKU. Codes are how CSV imports recognise existing items, so keep them unique.
  • Heading: required. It names the item in the library and in templates, and is shown on the quote, unless you tick Hide the heading on quotes (text items only).
  • Description: rich text with formatting, lists, links and images. Insert smart tag above it adds a blank to fill in on each quote; see Smart tags and placeholders.

Price item fields

  • Unit price or % of items above: a normal price, or a percentage of the price items above it in the quote (back to the previous subtotal), useful for something like project management at 10%.
  • Unit price and Cost price are in your base currency. The cost price is optional and never shown to customers.
  • Default quantity and Unit (hour, day, each…).
  • Discount %, Sales category and Tax rate. New items start with your default tax rate and category. Choosing a category that has a default tax rate sets that rate for you.
  • Customer options: Optional (the customer can tick it on or off), Multiple choice (one of a group of alternatives) and Editable quantity (the customer can change the quantity).
  • Subscription / recurring price: tick it to set Every, Interval (weeks, months or years) and, optionally, Term (periods). Leave the term empty for an ongoing subscription.

Text items have only a code, heading (with Hide the heading on quotes) and description.

Edit, duplicate, archive or delete

  • Edit opens the item; save with Save changes. If it is used in templates, saving updates those templates too. Quotes that already exist are never changed.
  • Duplicate makes a copy with "(copy)" added to the heading and "-copy" added to the code, if it has one.
  • Archive hides the item from the library and from searches in the quote editor. Tick Show archived and use Restore to bring it back.
  • Delete removes it from the library. Quotes already using it are unaffected, and templates keep their own copy.
