You can load a whole price list from a spreadsheet, or export the library to edit it in bulk. Both use CSV files.
Export
Go to Library and choose Export CSV. The file contains every price and text item that isn't archived, with one column per field, plus tax_rate and sales_category columns that give the names. It is the easiest starting point for an import.
Import
- Prepare a CSV file whose first row contains the column names.
- Choose Import CSV, select the file and choose Import.
- Check the result: how many items were created and updated, and a list of any rows that were skipped, with the line number and the reason.
Columns
| Column | Notes |
|---|---|
| heading | Required. name or title also work. |
| kind | price or text. Rows without it become price items. |
| code | Rows whose code matches an existing item update that item; all other rows create new items. |
| description, unit, quantity | qty also works for quantity. |
| unit_price_base, cost_price_base | In your base currency. price, unit_price, cost and cost_price also work. |
| discount_percent | discount also works. |
| tax_rate | The name of one of your tax rates, or its percentage. |
| sales_category | The name of one of your sales categories. category also works. |
| is_optional, is_multiple_choice, editable_quantity | 1 or 0 (true or false also work). |
| subscription_interval, subscription_every, subscription_term | Interval is week, month or year. |
The export also contains id columns for tax rates and categories, which you can keep or remove; the id column is ignored on import.
Tips
- Give every item a code if you plan to update prices by re-importing: without one, each import creates new items.
- Empty cells are ignored, so an import never blanks a field. Edit the item in the library to clear a value.
- Tax rates and categories must exist first. Create them under Settings → Tax & categories; see Tax rates and sales categories.
- Save the file from your spreadsheet as CSV in UTF-8, so accented characters and currency symbols survive.
