A one-off invoice starts with a line naming the quote. You can add a short project summary beneath it, so whoever pays the invoice knows what it is for.
Write or generate the summary
- In the Create invoices in Xero dialog, find Project summary, under the one-off options.
- Type a sentence or two about the project, or click Generate with AI to draft one.
- Edit the text as you like. The counter under the box shows the characters used and the limit, for example "120/250".
The summary is saved with the quote, so it is there next time, for example when you invoice the next milestone. It is added to one-off invoices (single or per milestone), not to subscription invoices.
How the AI works
The AI receives the quote number, title and customer, and the first text block of the quote, which is usually your introduction. When there is no text block, it uses the selected items instead. It follows the instructions in your default prompt and keeps to your summary length.
To steer it for one quote, click Prompt in the dialog, change the instructions and generate again. The change applies only to that request.
Generate with AI only appears when AI is set up for your organisation.
AI settings
In Settings → Integrations, the AI · OpenRouter section shows whether AI is set up (Platform key, Own key or Not configured) and lets you set:
- API key: your own OpenRouter key. The line under the box says what applies: leave it blank to use the platform key; it is needed only when there is no platform key and you have no key of your own. Once your key is saved, leave the box blank to keep it, or tick Remove my key.
- Model: shown only once you have your own key — an OpenRouter model id, blank for the platform's choice. With the platform key the platform chooses the model.
- Default prompt: the instructions for the summary.
Click Save changes. The maximum length is set with Project summary length in the Xero settings.
When you generate a summary, the quote details listed above are sent to the AI service. Only admins can use these tools.
