Edit a sent quote and work with revisions

Take a live quote offline for a quick correction, or start a new revision that keeps the previous version, then compare or restore versions.

Once a quote is sent it is locked, so the customer never sees it change while they are reading it. A notice at the top explains this. While a quote is live you can still change its private notes, owner and progress flag.

A quick correction

For a typo, a date or a small price change:

  1. Click Edit – take offline. The status becomes Editing and the customer sees a short "being updated" message if they open the link.
  2. Make your changes.
  3. Click Put back online to make it live again without emailing anyone, or Preview & send to email the recipients again.

This does not create a new revision.

A new revision

When the quote changes meaningfully, for example a new price after feedback, start a new revision so the previous version is kept:

  1. Choose New revision… in the Actions menu or the notice.
  2. Optionally add a note, such as "lower price after client feedback", and confirm.
  3. The current content is kept as version 1 (or whichever version it was), and the quote goes offline as the next revision.
  4. Make your changes, then use Preview & send or Put back online.

From the second revision on, the customer page and PDF show "rev. 2" (and so on) next to the quote number. The customer's link stays the same.

You can start a new revision from a quote that is Sent, Editing, Declined, Expired or Withdrawn.

Reopen a declined, expired or withdrawn quote

Choose Edit (reopen, take offline) to edit it, for example to extend the Valid until date, then put it back online or send it again.

Compare and restore versions

Click History at the bottom of the Quote tab to show it. The Activity list is grouped by revision. Under Versions, each saved version has:

  • Compare / view: Differences lists what changed, field by field and item by item, compared with the current quote or another version. View this version shows it as the customer saw it.
  • Restore: replaces the current content with that version. It is only available while the quote is offline. The current content is saved as a version first, so nothing is lost.
