When your organisation has connected Xero, each client can be linked to a contact in Xero. Invoices raised from a quote are then created for that Xero contact. Setting up the connection itself is covered in Connect Xero.
Link a client
- Open the client from Clients.
- Scroll to the Accounting section.
- Either search in Find in Xero by name or email… and pick the matching Xero contact, or choose Create in Xero to create a new Xero contact from the client's details (name, email, tax number, address, phone and contact people).
Linked clients and contacts show a small Xero mark in the lists and in the quote editor. To remove the link, choose Unlink; nothing is deleted in Xero.
People without a company
For a quote addressed to a private individual, the invoice goes to the Xero contact linked to that person. Contacts picked from Xero in the quote editor are linked automatically.
People from Xero
Importing a company from Xero brings its primary person and every additional person listed on the Xero contact in as contacts (matched by email address, so nothing is duplicated). To pick up people added in Xero later, open the client and choose Add people from Xero under Accounting.
A branding theme per client
Admins can give a linked client its own Xero branding theme under Accounting → Branding theme for this client's invoices, for example the theme for their currency; Organisation default uses the one under Settings → Integrations. Invoices raised from the client's quotes use it.
At invoice time
If the quote's client isn't linked yet, the Create invoices in Xero dialog lets you choose an existing Xero contact or create one there and then. See Create Xero invoices.
Who can do this
Any team member can link clients and contacts to Xero. Connecting Xero and raising invoices are for admins. If the Accounting section says Xero isn't connected, ask an admin to connect it under Settings → Integrations.
