These settings apply to every quote in your organisation. You need to be an owner or admin to change them. They are in Settings → Branding & layout; click Save changes when you are done.
Acceptance & e-signature
- Acceptance statement: the wording the customer agrees to when they accept, for example that they accept the prices, terms and conditions.
- Require the customer to tick the statement: adds an "I have read and agree to the above" checkbox that must be ticked.
- E-signature: choose Not asked for no signature box, Optional to offer one, or Required so customers cannot accept without signing. Customers can draw or type their signature.
- Verify the signer's email with a one-time code: customers must confirm a code sent to their email before they can sign. See Email verification codes.
- Ask for an order / PO number: adds an optional order or reference field.
- Allow comments on acceptance: adds an optional comments box.
Whatever you choose, every acceptance is recorded with a signature certificate, including the document hash, time, IP address and device. See The signature certificate and audit trail.
PDF & access
- Let customers download a PDF, and its Page size (A4 or US Letter).
- Block viewing of expired quotes: once a quote has passed its Valid until date, the customer sees only that it has expired.
- Block viewing of declined quotes: once declined, the customer sees only that it was declined.
Without these blocks, expired and declined quotes stay readable but cannot be accepted. You and your team can always open them.
Choosing what is right for you
- For everyday quotes, an acceptance statement and an optional signature is often enough.
- For larger contracts, require a signature and email verification, and countersign once accepted.
- If your customers raise purchase orders, ask for an order / PO number so it is recorded with the acceptance.
The same page also holds your logo, brand colour and document type. See Branding.
