When a customer clicks the button in your email, their quote opens in the browser as a clean, branded page. They do not need an account or a password, and the page works on phones, tablets and computers.
The quote itself
- Header: your logo (or organisation name) and contact details, with the quote number, date and Valid until date. From the second revision on, "rev. 2" (and so on) appears beside the number.
- Prepared for: the customer's company and the main contact, with the contact's job title, the address and email. A quote for a person with no company leads with their name. Anyone else the quote was sent to is listed under Also sent to, with their company when it is a different one; the PDF shows the same. Prepared by: the quote owner's name, job title, email and phone, and your organisation.
- Title and items: text items appear as sections, under their heading unless you chose to hide it. Price items show quantities, unit prices and totals according to the quote's price display setting. Item pictures can be clicked to enlarge, and attached files can be downloaded.
- Choices: optional items have a checkbox, multiple-choice groups have round buttons, and editable quantities have a quantity box. See How customers choose options.
- Totals: subtotal, discount, tax and total, with any recurring amounts below.
- Terms, notes and payment terms, including the payment milestones with their due dates and amounts.
- Attachments for the whole quote, as cards: images and PDFs open in a viewer, and every card has Download. A Download PDF button follows if PDFs are enabled.
Placeholders such as {customer_first_name} are filled in for the person viewing. Costs, margins, private notes and sales categories are never shown.
Questions & answers
Below the quote, the customer can read the conversation with you and write a message in the box at the bottom. See How customers decline or ask a question.
The Accept bar
While the quote can be accepted, a bar in your brand colour stays at the bottom of the screen. It shows the total, the title, how many options are selected, a Decline link and an Accept quote button (or Accept proposal or estimate, depending on your document type). See Accepting a quote with an e-signature.
When the quote is not open for acceptance
- Accepted: a summary at the top shows who accepted and when, their signature and the signature details, and your countersignature once added.
- Declined or Expired: the quote can still be read, with a note at the top, but not accepted. Admins can block viewing of expired or declined quotes in Settings → Branding & layout.
- Being edited: the customer sees a message that the quote is being updated, with Check again.
- Withdrawn: the customer sees only that it has been withdrawn.
