Subscription items are kept apart from the one-off total, and they are invoiced separately too. In the Create invoices in Xero dialog they have their own section, Subscriptions · first period, which appears when the accepted quote includes subscription items.
Choose how to invoice them
- Not now: leave subscriptions for later.
- One invoice for all subscription items: a single invoice for the first period of every selected subscription.
- One invoice per subscription item: a separate invoice for each, useful when, say, a licence and a support plan start at different times.
Tick the subscription items to include. Only items the customer selected are listed. With one invoice per item, items already invoiced are marked invoiced and cannot be ticked again.
What the invoice contains
- A first line with the quote number and title, noting that it is for subscriptions. The project summary is not added to subscription invoices.
- One line per subscription item for one period, with the period in its description, such as "per month".
- Tax and accounts mapped as for any other invoice.
One-off and subscription invoices together
The one-off and subscription choices are independent, so you can raise both in one go: for example a deposit invoice for the first milestone and an invoice for the first month of support.
Renewals
Quoterium invoices the first period only. For the periods after that, set up a repeating invoice in Xero.
