Recurring charges, such as hosting, support or licences, are entered as subscription items. They are shown and totalled separately from the one-off costs.
Make an item recurring
- Open the price item's ⋯ menu and choose Subscription.
- In the line that appears, set how often it repeats: every 1, 3, 12… week(s), month(s) or year(s).
- Optionally set for how many periods it runs. Leave it blank for no fixed end.
The unit price is the price per period.
How subscriptions are totalled
- They are not part of the one-off total.
- Below the main total, each recurring group is shown on its own, for example Then per month, with its subtotal, tax and total. Items with the same period and term are added together.
- They are not included in subtotals, percentage-priced items or payment milestones.
What the customer sees
The item shows a line such as "Recurring per month" or "Recurring per month for 12 months", and the totals list the recurring amounts under the one-off total. Subscription items can also be optional, part of a multiple-choice group or have an editable quantity, so customers can choose a plan or a number of seats.
Invoicing subscriptions
If you use Xero, admins can raise an invoice for the first period of the subscriptions once the quote is accepted. See Invoice subscriptions in Xero.
