Quoterium reminds you to chase quotes that have gone quiet. Follow-ups are never sent automatically: you decide whether to send one.
When a quote needs a follow-up
A sent quote is flagged when any of these is true:
- it has not been opened 12 hours after it was sent;
- no follow-up has been sent and more days have passed since sending than the Follow-up after (days) setting (3 unless your admin has changed it);
- one follow-up has been sent and the quote was sent more than 14 days ago.
The dashboard also lists a sent quote that the customer opened again in the last few days after a quiet spell of at least your follow-up days: a good moment to get in touch.
Only quotes with the status Sent are flagged. Admins change the number of days in Settings → Quote defaults.
Where you see them
- Worth a follow-up on the dashboard. A line under each quote says why: sent so long ago and not opened yet, sent so long ago with no answer yet, or opened again after a number of quiet days. Quotes opened again come first. Follow up opens the quote with the follow-up email ready.
- A Follow up marker under the quote on the Quotes page.
Send a follow-up
- Open the quote and choose Send follow-up in the Actions menu.
- Edit the subject and message. They start as a short, friendly reminder.
- Click Send follow-up.
The follow-up goes to every recipient on the quote who has an email address, each with a button to their own link. The quote's follow-up count goes up, and the email is recorded in its History.
Dismiss a reminder
If you have chased the customer another way, or do not want to, dismiss the reminder:
- click Dismiss next to the quote on the dashboard;
- choose Dismiss follow-up in the quote's Actions menu; or
- select several quotes on the Quotes page with Bulk edit and choose Dismiss follow-ups.
A dismissed quote is not flagged again unless you send it again, put it back online after editing, or send a follow-up.
