Quoterium

Email and sending settings

Choose the address your quotes come from, send through your own mail server if you like, test the setup, and write the default quote email.

All customer email, such as quotes, follow-ups, answers to questions and acceptance confirmations, is sent in your organisation's name. Set it up under Settings → Emails & sending (admins only).

Sending

  • From name: your organisation's name by default. The author's name is added automatically, for example "Jane (Acme)".
  • From email: only with your own SMTP server (below). It defaults to the organisation email and must be an address your server is allowed to send as.

The page shows the name and address mail actually goes out as.

Under Send through, choose:

  • The platform mail server: nothing to set up. Mail is sent from Quoterium's address (shown on the page) with your organisation or the quote author as the sender name, for example "Jane (Acme)", Nothing needs changing on your own domain.
  • Your own SMTP server: for example Google Workspace, Microsoft 365 or your email provider. Enter the SMTP host, Port, Encryption (STARTTLS on 587 or SSL/TLS on 465), Username and Password. Use this to send from your own address: mail then leaves through your own provider, and messages appear in your Sent folder when your server supports it. The password is stored encrypted; leave it blank to keep the saved one.

Choose Save changes.

Replies from customers

Every email to a customer about a quote, such as the quote itself, follow-ups and your messages, can simply be replied to, whichever mail server sends it. The reply is added to the quote's Questions & answers and emailed to the quote owner, who can answer by replying to that email or on the quote. See Questions and messages.

Send a test email

Enter an address (or leave it blank to use your own) and choose Send test email. Unsaved sending settings are saved first. If the test fails, the error from the mail server is shown so you can correct the settings.

Customer emails

This is the default message when you send a quote; you can still edit it before every send.

  • Subject and Message, with Placeholders you can click to insert: {quote_title}, {quote_number}, {customer_first_name}, {customer_name}, {company_name}, {your_name}, {total}, {valid_until} and {quote_url}.
  • Your personal email signature from your profile is added automatically.
  • Footer: text at the bottom of every email, such as your company registration.
  • Reply-to email: optional. Customers' replies always go to the quote's Questions & answers and to the quote owner; this address receives a copy too, for example a shared sales inbox.
  • CC when sending: addresses (comma-separated) filled in as CC every time a quote or follow-up is sent, for example colleagues who should see every quote. They can be changed in the send dialog.
  • BCC on acceptance: addresses (comma-separated) that receive a copy of every acceptance confirmation.

Choose Save changes. If customers aren't receiving your emails, see Emails not arriving.
