Emails not arriving

Your customer hasn't received a quote, or a colleague's invitation is missing? Work through spam folders, addresses, your sending settings and a test email.

Most missing emails are in a spam folder or were sent to the wrong address. Work through these checks in order.

1. Check the obvious

  • Ask the recipient to look in their spam, junk or quarantine folder, and in any "Promotions" or "Other" tab.
  • Check the email address. In the quote editor, the Prepared for box shows each recipient's address; "No email address" means the contact has none. Correct the contact and send again. See Add and edit contacts.
  • Check the quote was actually sent. A quote marked as sent with Mark as sent is never emailed, and a scheduled send goes out at the time you picked. The quote's History shows what happened.
  • Look for Email to … could not be delivered in the quote's History. When the recipient's mail server refuses an email, for example because the address doesn't exist, it is recorded there and the quote owner receives an email with the server's reply. This works for mail sent through the platform mail server.

While you investigate, you can copy the Customer link from the quote editor and send it in your own email or a message. For a team invitation, use Copy link under Pending invitations on Settings → Team.

3. Send a test email

An admin can go to Settings → Emails & sending, enter an address and choose Send test email. If the test fails, the message shown is the mail server's own error, for example a wrong password or port.

4. Sending from your own address

With The platform mail server, mail comes from Quoterium's address under your organisation's name, so your domain's settings don't affect delivery. With Your own SMTP server, such as Google Workspace or Microsoft 365, mail comes from your own address and leaves through your own provider. If that mail goes missing, check the host, port and encryption with your provider (usually port 587 with STARTTLS, or 465 with SSL/TLS) and that the From email is an address your server may send as.

See Email and sending settings for every option.

5. Codes and password resets

Verification codes and password reset emails can land in spam too. A new verification code can be requested after a minute; a reset link can be requested again at any time, and only the newest one works.

Still stuck? Contact support with the recipient's address, the quote number and the time it was sent.
