Every company you quote should have a client record. It holds the details printed on your quotes and gives you one place to see everything you have sent them.
Create a client
- Go to Clients and choose New client.
- Enter the Company / client name. This is the only required field.
- Add any of Phone, Website, Tax number and the Address. A client has no email address of its own: email addresses belong to its contacts.
- Optionally choose a Preferred quoting currency (see below).
- Choose Create client. The new client's page opens so you can add contacts straight away.
You can also create a company while adding a contact from the quote editor: in the New contact dialog, type a name in Company / client and pick Create company.
Preferred quoting currency
If a client is always quoted in another currency, set it here. New quotes you start from the client's page begin in that currency, with prices converted from your base currency at that day's rate. Leave it on Organisation default to use your usual currency. Read more in Multi-currency quotes.
Edit a client
- Open the client from the Clients list.
- Change the fields under Details on the left of the page.
- Choose Save changes. The button only becomes active once something has changed.
If you need a different record for a different branch or legal entity, create a separate client.
Good to know
- A client does not need an email address; quotes are emailed to its contacts.
- Everyone in your organisation can add and edit clients.
- If you connect Xero, you can also link the client to a Xero contact. See Link clients and contacts to Xero.
From Xero
When Xero is connected, typing the company name shows matching Xero contacts under the field, headed In Xero. Choose Use to import one: the client is created with the address and phone from Xero, its main person and any additional people become contacts, and the client and its main person are linked to the Xero contact (see Link clients and contacts to Xero). If the Xero contact is a person rather than a company, they are added as a contact instead.
