If you have quotes made elsewhere, for example in another quoting tool or in Word, Quoterium can read one and create a draft from it, so you don't have to type it in again.
Import a document
- Choose New quote, then Import from Word or PDF.
- Choose a .docx or .pdf file of up to 10 MB, or drop it on the box.
- Wait while it is read. The box shows the upload, then Reading with the time elapsed and the steps: Upload, Read with AI, Create the draft. Short quotes take under a minute; long ones can take a few minutes, so keep the window open until the draft opens.
The draft opens straight away. Nothing is sent to your client. (To write a quote from a description instead of a document, see Draft a quote with AI; both use the same monthly allowance.)
What is filled in
- Client and contact: an existing client with the same name, and a contact with the same email address or name, are used. Otherwise a new client and contact are created.
- Items in the document's order: introductions and headings become text items, priced lines become price items with quantity, unit, unit price, discount and tax. Optional lines are added as optional items, not selected.
- Tax: matched to your tax rates by percentage. If you have no rate with that percentage, the item keeps it without a named rate.
- Currency, dates, terms, customer notes and payment terms, when the document has them.
- Formatting in descriptions and terms: paragraphs, bold, italic, underline, bulleted and numbered lists, and links.
Check the draft
A notice at the top of the draft lists anything to check, such as clients or contacts that were created, tax rates that didn't match, or anything the reader was unsure about. If the total printed in the document differs from the total Quoterium calculates, the notice says so: that usually points to a misread price, quantity or optional item. When you're done, choose Done checking to hide the notice.
Scanned documents
PDFs that are scans or photos, with no selectable text, are read too.
How many imports you can make
Each plan includes a number of imports a month; the import box shows how many are left. Imports that fail don't count. If your organisation uses its own OpenRouter key under Settings → Integrations, there is no monthly limit. An imported quote also counts towards your plan's quotes for the month.
Privacy
The document is sent to our AI provider, OpenRouter, and the model it uses, to be read. Quoterium doesn't keep the file, only its name. See our privacy policy.
