Quoterium is where you write, send and track quotes. You build a quote from price items and text, send each customer their own link, and see when they open it. Your customer can choose options, ask questions and accept online with an electronic signature. Once a quote is accepted you can countersign it and, if you use Xero, raise the invoices from it.
The core workflow
- Write. Start a quote from scratch or from a template, choose who it is for, then add price items, text, terms and payment milestones. Your work is saved automatically as you type.
- Send. Choose Preview & send to check the email and see the whole quote exactly as the customer will. Send it straight away or schedule it.
- Follow up. The dashboard lists the quotes that need you: questions to answer, drafts to finish, quotes worth a follow-up and accepted quotes to countersign. The Quotes page shows when each quote was last opened.
- Accept. The customer accepts on their quote page with their name and, depending on your settings, a signature and an email verification code. A signature certificate is added to the PDF.
- Invoice. Admins can create invoices in Xero from an accepted quote, for the whole amount or for each payment milestone.
A few ideas worth knowing
- The customer is a company. A quote is prepared for a client (a company) and its main contact, and can be sent to other people too. The company follows the main contact. When you quote an individual with no company, the person is the customer.
- One base currency, any quote currency. Your library and templates are priced in your base currency. Any quote can be issued in another currency at the day's exchange rate.
- Rich text. Descriptions, terms and notes support headings, lists, tables, links, images and file attachments.
- A quote is a live page. Customers always see the current version through their link. To change a sent quote you take it offline, edit it and put it back online.
