Once Xero is connected, Settings → Integrations shows the settings used for every invoice. Click Save changes after editing them.
Invoice defaults
- Xero organisation: shown only when your Xero login can reach more than one organisation (a demo company and your real one, say). Choosing another one loads its accounts, branding themes and tax rates; pick them again and save.
- Default sales account: the Xero account invoice lines are posted to. An item whose sales category has its own accounting code uses that code instead; set codes in Settings → Tax & categories (see Tax rates and sales categories).
- Branding theme: optional; the Xero branding theme for the invoices. Xero default leaves it to Xero. A client can have its own theme (see Link clients and contacts to Xero), which wins over this one.
- Create invoices as: Draft, Awaiting approval or Approved. Draft is the safest choice: you can review each invoice in Xero before approving it. This can be changed for each batch of invoices.
- Due after (days): how many days after creation an invoice is due, unless a milestone gives its own date or you pick a date when creating it. It is 30 unless you change it.
- Project summary length: the maximum number of characters for the project summary on one-off invoices (250 unless you change it). See Project summaries and AI.
Tax rates
Each of your tax rates must match a Xero tax rate. The Tax rates table lists your rates with the Xero rate each will use.
- Auto picks the Xero rate with the same percentage, and shows which one it found. If it reads Auto · no match, choose a rate yourself.
- If Xero has several rates with the same percentage, for example standard-rated and zero-rated sales, choose the right one for each of your rates.
- No tax sets the Xero rate used for lines without tax and for quotes with no tax.
If an invoice fails with "No Xero tax rate matches", map that rate here and try again.
Quote currency and tax mode
Invoices are raised in the quote's currency. For a single invoice, prices are sent as tax exclusive, tax inclusive or no tax to match the quote.
