From sign-up to your first accepted quote in ten steps. Each step links to a longer guide if you need it.
Ten steps
- Create your account. Choose Start a free trial, enter your organisation and your details, and pick your Base currency: the currency your business reports in. It can't be changed later. See Create your account.
- Add your details and logo. In Settings → Organisation, check your company name, address, email and tax number. In Settings → Branding & layout, choose Upload logo and set your Brand colour. See Organisation settings and Branding.
- Set your quote defaults and tax. In Settings → Quote defaults, choose the Default currency, Tax and Tax label, how long quotes are valid and your standard terms, then click Save changes. Add your tax rates in Settings → Tax & categories. See Quote defaults and Tax rates and sales categories.
- Add a client and a contact. On Clients, choose New client, enter the Company / client name and click Create client. On the client's page, choose New contact: First name, Last name and Email are required. You can also add a contact straight from a quote. See Add and edit clients and Add and edit contacts.
- Build your library (optional). In Library, add the services and products you sell with New price item, and standard paragraphs with New text item. Under Quote templates, choose New template to save a whole quote to start from. See Create library items and Create and edit templates.
- Start a quote. Click New quote in the header and choose a template, or Empty quote. Under Prepared for, find the contact: their company becomes the customer. Give the quote a title. See Create a quote.
- Add items. Use + Price item for what you are charging for (heading, description, Qty, Unit price, Tax) and + Text item for introductions and explanations. From library… inserts a saved item; typing in a heading suggests matching ones. The editor saves as you go. See Price items and Text items and subtotals.
- Check and send. Open the Preview tab to see the quote as your customer will. Then click Preview & send, check the recipients and the email, and click Send now. See Preview your quote and Send a quote.
- Your customer reads and accepts. They open their own link, no account needed. They can choose any options you offered, ask a question under Questions & answers, and click Accept quote to accept with their name and, depending on your settings, a signature and an email verification code. You get an email when they ask, accept or decline. See What your customer sees and Accepting a quote with an e-signature.
- Follow up, countersign and invoice. The dashboard lists quotes with Questions to answer and quotes Worth a follow-up. Once a quote is accepted, it appears under Accepted — countersign: click Countersign to add your signature. If Xero is connected, Invoice creates the invoices from the quote. See Follow-ups, Countersign an accepted quote and Create invoices in Xero.
